We are looking for a site admin officer to manage administrative operations at our construction sites. The ideal candidate will have experience in the contracting and construction industry, handling site documentation, coordinating with different departments, and ensuring smooth office operations.
Requirements
- Manage all administrative activities on-site, ensuring efficient office operations
- Handle site documentation, including contracts, permits, invoices, and reports
- Coordinate between project teams, engineers, suppliers, and subcontractors
- Maintain records of attendance, payroll, and employee timesheets
- Support procurement processes by preparing purchase orders and tracking deliveries
- Assist the finance and accounts team with expense tracking and petty cash management
- Ensure compliance with company policies, safety regulations, and labor laws
- Manage office supplies, equipment, and logistics for site personnel
- Handle correspondence, emails, and communication between the site and head office
- Assist in organizing meetings, preparing minutes, and maintaining project schedules
- Support Admin-related tasks such as onboarding new employees and managing staff accommodations
- Maintain an organized filing system for all administrative and project-related documents
- Monitor and report on site expenses, assisting in budget management
- Address day-to-day administrative issues to ensure smooth workflow
Qualifications & Skills:
- Bachelor's degree or diploma in business administration, office management, or a related field
- Minimum 1 years of experience in an administrative role within the construction or contracting industry
- Strong organizational and multitasking abilities
- Proficiency in MS Office Suite (Excel, Word, Outlook) and administrative software
- Knowledge of procurement, payroll, and document control procedures
- Excellent communication and coordination skills
- Ability to work under pressure and meet deadlines in a fast-paced environment
- Familiarity with construction site operations and safety regulations is a plus
